As data controller, Maana Japan K.K. ("Maana") is required to protect your personal information, and our aim is to make you feel secure when we process your personal data. We will process any personal information about you in accordance with this Privacy Policy and applicable laws.
1. Types and use of personal information.
Maana collects information about you in the following cases: when you make a reservation for a stay, experience, retreat, or table; when you purchase from our shop; when you sign up for our newsletter; or when you contact us with an inquiry.
We only collect data necessary for these purposes, such as your name, address, telephone number, email address, payment information, purchase history, information regarding dietary restrictions or accessibility needs, cookies, and IP address. We will only process and store your personal data if you have provided it voluntarily.
Maana uses your personal data to provide the services for which we have collected the information, to better understand the guests and visitors we serve, and to improve our properties, products, and experiences. This may include investigations, statistics, and analyses. We may also send you marketing material by email or other electronic means where you have requested to receive it, and you may opt out at any time.
For hotel stays, Maana is required by Japan's Inn Business Act (旅館業法) to maintain a guest register recording each guest's name, address, occupation, and dates of stay. For guests who are foreign nationals not resident in Japan, we are also required to record nationality and passport number, and to retain a copy of the passport. Information you provide about dietary restrictions or accessibility needs is used solely to deliver the requested service and is not used for marketing or other purposes.
2. Sharing of your personal information.
In some cases, we may share — or receive — the personal data we process about you. Specific categories include: (i) third-party booking platforms (for example Booking.com, Expedia, and similar services) that transmit reservations to us, and platform-managed channel partners; (ii) Stripe, our payment processor for direct bookings — Stripe handles your payment-card details under its own privacy policy, and Maana does not store full card numbers on its systems; (iii) other suppliers and service providers we work with to operate our business, including technical support providers and financial institutions; (iv) government authorities where required by law — for example, the Inn Business Act guest register is subject to inspection by police and public-health authorities.
We share information only to the extent necessary to provide you with the requested service or to meet a legal obligation — for example, when you make a reservation, enter into an agreement with us, or receive materials from us.
3. Security.
We implement security measures to protect your personal data against manipulation, loss, destruction, and unauthorised access. We continuously review our security procedures based on current technological developments.
In practice, no method of transmission or storage is 100% secure, and therefore we cannot guarantee that information will be fully protected against anyone who succeeds in circumventing our security measures. You provide your information at your own responsibility.
4. Your rights.

Under applicable law, you are entitled to know which personal data we process about you. If that data is incorrect or misleading, you are entitled to have it corrected, suspended, or deleted. You may also object to further processing of your personal data at any time.
You may also lodge a complaint with the relevant data protection authority in your jurisdiction.
5. Storage.
Maana will store your personal data for as long as necessary to provide the requested service, as long as needed for a legitimate business purpose, or as long as required by law. We continuously delete or anonymise personal data when it is no longer relevant to the purposes for which it is processed.
Some categories of data are subject to mandatory retention periods set by law. For example, hotel guest register entries maintained under the Inn Business Act are retained for the period prescribed by that statute, regardless of any earlier request for deletion.
6. Changes.
We may update and change this Policy from time to time. Maana reserves the right to do so. In the case of significant changes, we will inform you through this website or by email. The current version of this Policy is always available at maanahomes.com/privacy.
